Service terms.
The proposed business agreement for using Fleetspace, including subscriptions, support and leaving the service.
Prelaunch draft. These proposed terms and arrangements are awaiting final approval and are not yet the agreement for live customer service.
Our agreement
Isaac Cullinane, trading as Fleetspace provides the service. Contact ic@isaaccullinane.com for service or privacy questions.
Service address: 46 Haig Road, SO50 8JN, United Kingdom.
These terms are for business use. The customer is the business identified when its authorised representative creates or accepts responsibility for a company workspace. That representative confirms authority to enter this agreement for the customer. Individual users must follow the account and acceptable-use requirements.
The processing schedule and service providers and transfers schedule form part of this agreement. Separately accepted subscription terms govern price and payment arrangements. The processing schedule takes precedence for personal data processed on the customer’s behalf.
Using Fleetspace
We provide tools for staff, vehicles, documents, work records and optional transport operations with reasonable care and skill. The customer controls its users, permissions, records and operating decisions. It must have authority to supply information, keep it accurate and provide required notices to staff and other individuals.
The customer retains its rights in the information it supplies and permits us to handle it only to provide the service and as described in this agreement. Authorised users may use Fleetspace for the customer’s business during their permitted access period. This does not transfer ownership of the application.
Reminders, document labels, timesheet totals and transport pay preparation support your work. They do not certify compliance, provide legal or payroll advice, pay staff, or replace your review. The customer remains responsible for employment, safeguarding, licensing, transport operations and appropriate business-continuity arrangements.
Accounts and acceptable use
Keep sign-in details secure. Do not access another company’s information, upload malicious content, interfere with the service or use it unlawfully. We may restrict affected access where reasonably necessary for security, misuse or legal requirements. Where lawful and safe, we will explain the restriction and how it can be resolved. Restrictions do not remove applicable data-protection rights.
Trial and monthly pricing
The standard trial lasts 30 days, needs no card and does not automatically become paid. An approved payroll-cutoff extension is shown in the product and cannot exceed 45 total trial days.
The monthly price is £4.80 per active vehicle plus £3.60 per active person enabled for their own timesheets. A person counts once even if they have more than one role. Ordinary logins, document-only staff, routes and administrators who only manage others do not add billable units.
There is no platform fee, setup fee, feature tier or minimum subscription charge. No VAT is charged. A company with no billable units has no subscription charge. An estimate is not a confirmed invoice.
Paid service starts only after an authorised billing user accepts the displayed usage and terms and completes activation. Activation starts the monthly billing period, including if trial time remains. Changes in billable units are prorated into the next invoice.
Cancellation takes effect at the end of the paid period. A failed payment does not extend that period or itself delete company records. Use the billing page to manage an available subscription or contact us about a problem. Statutory rights and correction of billing errors are unaffected.
Support and changes
Contact support in the product or through our contact page. The service does not include 24-hour support, a guaranteed response time or an uptime service level unless separately agreed in writing. We will handle support and service incidents reasonably; data-protection requests and complaints remain subject to applicable legal requirements.
We will explain material changes to these terms before asking you to accept them. We will not silently change previously accepted billing terms.
Export and leaving the service
Company owners and administrators can download a workspace export, including operational history and available validated attachments. Unavailable or quarantined files are identified. This is an operational download, not a point-in-time infrastructure backup. Private personal product feedback and sign-in credentials are not company export content.
An owner can request company closure after confirming their identity. The company becomes read-only and retains permitted access and export during a 30-day closure review period, which will not end before its existing paid-through date. The owner can cancel closure until deletion begins. Once deletion begins, it cannot be cancelled.
Deletion removes the company’s operational records, feedback and private files, subject to a specifically documented legal retention requirement. It does not delete sign-in accounts or other companies.
A minimal deletion receipt is retained for 90 days after completion to record the request, applicable policy and completion. It does not contain company documents or their contents. Separate backup and deletion-protection records follow the provider schedule.
Contact us for return or deletion instructions that cannot be completed through the product. The commercial review period does not override a mandatory erasure duty. These terms do not enable automatic deletion merely because a company is inactive.
Responsibility and proposed liability limit
Each party is responsible for its obligations under this agreement and applicable law. Nothing excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or liability that cannot lawfully be limited. Individual data-protection rights and regulators’ powers are unaffected.
Proposed for final approval: subject to those exceptions, Fleetspace’s total liability to the customer arising under or in connection with this agreement, including the processing schedule, for claims arising in any consecutive 12-month period will not exceed the greater of £10,000 and the charges paid or payable by that customer in that period. Related claims arising from the same event or series of events are treated as arising when the first event occurred. This limit applies to contractual claims between the parties and does not limit an individual’s statutory claim or a regulator’s powers.
Proposed governing law
Proposed for final approval: these terms and disputes arising from them are governed by the laws of England and Wales. Subject to mandatory rights and jurisdiction rules, the courts of England and Wales have jurisdiction.
