How we handle personal information.
What Fleetspace uses, why it is needed, and how to ask about your information.
Prelaunch draft. These proposed terms and arrangements are awaiting final approval and are not yet the agreement for live customer service.
Who we are
Isaac Cullinane, trading as Fleetspace provides the service. Contact ic@isaaccullinane.com for service or privacy questions.

Your company normally controls the staff, vehicle, document, time and transport information it puts in Fleetspace. We process it for the company under our processing schedule. If your company acts for another organisation, it is responsible for that organisation’s authority and instructions. Ask your company for its privacy notice.
We separately control account administration, enquiries, service support, private product feedback, security and billing administration. Company records shared with support remain subject to the company’s instructions.
Information we receive
Information comes from you, company administrators and service providers reporting authentication, delivery or payment events. We also record service activity, including changes to access and records.
Company records may include staff contact and identity details, licences, documents, vehicle assignments, worked hours, leave, routes and attendance. Optional school transport can include passengers, guardians, pickup locations and assistance needs. Your company must establish the appropriate authority and legal conditions for health, disability or criminal-record information. Please avoid unnecessary personal information in support requests.
Why we use information we control
Accounts and service access. We use account identity, email, authentication and preferences to provide the requested service. Our basis is contract where you personally contract with us; otherwise it is our legitimate interest in serving your organisation and its users.
Enquiries, support and feedback. We use contact details, correspondence and request history to answer requests and improve the service. Our basis is contract for an individual customer’s requested service, or otherwise our legitimate interests in those purposes.
Security and accountability. Access and activity records help us prevent misuse, investigate incidents and protect users. We rely on our legitimate interests in protecting the service and resolving incidents.
Subscription administration. Billing contacts, subscriptions, invoices and payment status help us manage the company relationship. We rely on contract with an individual customer, otherwise legitimate interests, and a legal obligation where a specific accounting or disclosure duty applies.
We do not sell workspace information. Agreeing to service terms is not marketing consent. If we request consent for a separate optional purpose, we explain it and how to withdraw it.
Access, providers and overseas processing
Current company permissions determine access to company records. We limit service access to people and providers who need it for the relevant task. Supabase provides authentication, databases and private file storage; Vercel hosts the application.
London hosting does not mean every operation stays in the UK. Our service providers and transfers schedule explains international processing and safeguards and forms part of this notice.
We may disclose relevant information where required by law or necessary to establish or defend legal claims. Other customer companies do not gain access to your company’s workspace.
Retention, export and deletion
Archiving staff or vehicles preserves history; it does not delete it. Company closure follows the export and deletion arrangements in our service terms. Closing a company does not close your sign-in account or remove your other company memberships.
Private product feedback is excluded from company exports. Its author can download a thread while they have company access. Feedback and replies are deleted with the company. Contact us for a verified privacy request if you need a copy after losing company access.
For information we control, retention depends on whether it is needed to provide your account, resolve a request, investigate a documented incident or dispute, meet a legal obligation, or establish or defend a claim. Under these proposed arrangements, we review those needs and remove or anonymise information when they end. Records retained for a legal or dispute purpose are restricted from ordinary use. You can request a retention review.
Backup copies and provider records have separate handling, explained in the provider schedule.
Your rights and complaints
Depending on the information and legal basis, you can request access, correction, erasure, restriction or a portable copy. You can withdraw consent without affecting earlier lawful processing. Some rights have legal limits.
You can object to processing based on our legitimate interests. Contact us and explain the processing you object to. For company-controlled records, start with your company; we can help identify the appropriate route. We may need proportionate information to confirm your identity.
Under these proposed complaint arrangements, we will acknowledge a data-protection complaint within 30 days, investigate without undue delay, keep you informed and tell you the outcome. You can also complain to the Information Commissioner’s Office.

Required information and human decisions
Email and authentication information are needed for sign-in access. Optional enquiry and feedback fields are identified in their forms. Your company explains which operational information it requires and why.
Calculations, status labels and reminders support human decisions. Fleetspace does not decide employment, safeguarding, licensing or payroll eligibility on your company’s behalf. Sign-in uses cookies needed to maintain your authenticated session.
